Driver Availability: who can work which days

Driver Availability is the people calendar: every guide as a row, the days ahead as columns, and each cell saying whether that person can work that day. Pure people-planning; no tours are assigned here. It is where days off, vacations and sick days are recorded, and the board reads it before offering anyone a tour.

What is Driver Availability?

A grid of your guides against the days ahead. It opens on Month, the next thirty days, because vacations get planned weeks ahead; Week shows the next seven with full day names. The window only looks forward, today onward, and the arrows step it a period at a time. The bottom row counts who is Available each day, and turns red on a day nobody is.

This is a manager screen. Staff cannot open it, but they can still mark someone off for today from the Daily Board.

What are the four states?

  • Available is the quiet default, a plain check mark: the person can be given a tour.
  • Day off is the everyday off: the weekly rest, an appointment.
  • Vacation is planned time away, usually a range of days.
  • Sick is the unplanned one, set on the day itself.

Each off state has its own colour, and the legend above the grid shows all four. In month view the narrow cells shorten the words to their initial, so a painted vacation reads as a run of V cells.

How do I mark days off?

  1. Tap a cell to cycle it: Available, then Day off, then Vacation, then Sick, and back around to Available.
  2. To paint a span, press a cell and drag along that guide's row; the whole sweep gets one state and saves as you release.
  3. For a longer range, press + Add time off, choose the guide, the status and the dates on the two calendars, and Save.

How does availability affect the board and planning?

A guide marked off simply stops being offered: on that day's board, their name is not in the GUIA choices any more, whichever of the three off states it was. Tour Planning is untouched, because planning decides which tours run, not who runs them; the person question is asked on the board, and that is where availability answers it.

It works in the other direction too: a guide who already runs a tour cannot be marked off for that day. The grid refuses with the tour's dates and asks you to reassign those days first, so an assignment is never silently orphaned.

Can I mark someone off from the Daily Board?

Yes, for today. The board's DISPONIBILIDAD panel lists everyone in three rows: Available, Off today and On duty. Tap a name under Available and they move to Off today; tap them there and they are back. People under On duty already hold a tour today, so they cannot be marked off until the tour is reassigned.

The board and this screen are the same record: a day marked off from the board shows up here as Vacation on today's column, and anything set here shapes the board's lists the moment it saves.
