# Glossary: the words of a tour company's day

The terms TourCockpit uses, and the ones a tour or excursion office already says out loud. Some are kept in the office's own language on every screen, on purpose, because they are the vocabulary the whole team shares over the radio and on the phone.

## Selling

Tour operator. A company that sells your tours to its own customers, for a commission: a large operator with a resort programme, an agency, or a hotel desk. In TourCockpit every operator gets its own login to the operator portal.

Operator portal. The part of TourCockpit where a tour operator sees the availability of the tours it is granted, books seats itself, and sees its own bookings, while other operators' details stay private. It replaces the phone call to the office.

Commission. The percentage of a booking's price an operator keeps for selling it. Each operator has its own, set on its record in Reference Data.

Commission settlement. The month-end statement per operator: bookings placed, gross, commission, net owed. The settlement has its own page, linked below.

Gross and net. Gross is what the guest paid. Net is the gross minus the operator's commission: what the operator owes you.

Referral (`REF`). Where a booking came from, as the office writes it on the sheet: which operator, desk or rep sent the guest.

## The day

Tour. A type of trip in your catalog: the route, the languages it is offered in, the prices. It exists once, with no date attached.

Tour instance. A tour placed on a date: this tour, running on this day, with its own guide, van and length. The same tour can run twice on one day as two instances, each with its own seats.

Booking. One party of guests on a tour instance: the hotel, the pickup time, who to call, how they paid, and the passengers, counted as AD (adults), CH (children) and INF (infants). Everyone in the party occupies a seat, infants included.

Daily board. The office's view of one day: every tour instance running, its guide, its van, its seats sold and left, and every booking on it. The board is where the office works, and everything else in TourCockpit is computed from it.

Manifest. The list a guide and a driver carry for one tour instance: every booking in pickup order, with hotel, time, party size, language and payment. Printed or on the phone.

`GUIA` and `CHOFER`. The guide and, when there is one, the second crew member who only drives. Every language rule reads the guide alone. The words stay in the office's own language on every screen.

`FURGO`, `LARGO` and `CORTO`. The van, and whether the tour runs long or short that day. Sheet vocabulary, kept verbatim.

## Pickups

Zone. A stretch of coast the van drives through, kept in driving order. Every hotel belongs to one zone.

Pickup time. When a tour collects in a zone. Each tour has one pickup time per zone, so a booking's pickup time follows from its hotel: the hotel's zone, then that tour's time for that zone. A time set by hand never moves.

Child seat (💺). The seat an infant or small child needs in the van, chosen from the office's own list, described in the reader's language on the manifest and in messages.

## Money

`CASH`, `TKT`, `PREPAID`. How a booking was paid: cash collected on the day, a ticket issued by an operator, or paid in advance. Cash is what the guide settles with the office; tickets and prepaid bookings count as tours, not as cash.

Financials. The monthly reconciliation, built from the board: totals for the month, a table per guide of cash collected, days and tours, and for the Owner the commission settlement per operator.
